This Privacy Policy explains how Clozr Technologies Private Limited ("Clozr", "we", "us", "our") collects, uses, shares, and protects personal information in connection with the Clozr website www.clozr.com and the Clozr application and services (the "Service"). Clozr Technologies Private Limited is owned by Nexotech (nexotech.cc), a separate legal entity. This Policy describes the practices of Clozr in respect of the Clozr Service only. We handle personal data in line with the Digital Personal Data Protection Act, 2023 and the rules made under it. By using the Service, you acknowledge this Policy. Where the law requires your consent, we will obtain it as described below.
1. Our Two Roles
Because Clozr is a CRM, we handle personal data in two different capacities:
As a Data Fiduciary — for our own account holders.
When you sign up for and use Clozr, we decide how your personal data (as an account holder) is handled. For this data, we are the Data Fiduciary.
As a Data Processor — for the data you store in your CRM.
When you use Clozr to store information about your own contacts, leads, and customers ("Customer Data"), you decide how that data is used — you are the Data Fiduciary for it, and Clozr only processes it on your behalf, on your instructions. If one of your contacts wants to access or delete their data, they should contact you, not Clozr. We will help you respond to such requests but will not act on Customer Data except on your instruction or as required by law.
2. Information We Collect
- a) Account and business information: full name, business name, email address, contact number, billing details, and GST information where applicable; and your account configuration and preferences.
- b) Customer Data you enter into the CRM: contacts, leads, deals, notes, tasks, activity records, and communications routed through the Service.
- c) Communications and call data: where you use call, WhatsApp, or messaging integrations, associated metadata (numbers, timestamps, delivery logs) and, where you enable it, message and call content used for features such as call summaries (see Section 4).
- d) Technical information: IP address, browser/device type, referring URL, usage and session data, and approximate location derived from IP address.
- e) Cookies and similar technologies (see Section 6).
- We do not collect Aadhaar, PAN, or financial-KYC documents, and we do not require them to use the Service.
3. How We Use Information
We use personal data to: create, verify, and manage your account and subscription; provide, operate, maintain, and improve the Service; process payments and issue invoices; send service-related communications (confirmations, security notices, and updates); provide support; comply with legal, regulatory, and tax obligations; and detect and prevent fraud, abuse, and security incidents.
We will send you service and transactional communications as part of providing the Service. We will only send marketing communications where permitted, and you can opt out of these at any time.
4. Automated Processing and AI Features
Where you enable call recording, transcription, or AI summary features, call audio and/or transcripts are processed to generate summaries and activity records. This may involve our sub-processor Sarvam AI, including for Malayalam-language transcription. Call recording is off by default. You are responsible for obtaining any consent required from call participants under applicable law before recording or transcribing calls.
5. Sharing of Information and Sub-Processors
We do not sell or rent personal data. We share it only as follows:
- Service providers (sub-processors) who help us run the Service, under contract and confidentiality obligations. These include: cloud hosting infrastructure, a payment gateway, WhatsApp / Meta, Exotel (telephony), Sarvam AI (transcription), and SMS/communication providers.
- Legal and regulatory authorities, where required by law or valid legal process.
- In a corporate transaction (such as a merger, acquisition, or restructuring), subject to this Policy.
Cross-border processing
Some service providers may process data outside India. Where they do, we take steps to ensure the data is handled in line with this Policy and applicable Indian law.
6. Cookies and Tracking
We use cookies and similar technologies to remember your preferences, measure usage, and improve performance. You can disable cookies in your browser, though some features may not work as intended.
7. Data Security
We apply reasonable security safeguards, including encryption in transit (SSL/TLS), access controls, limited permissions, and periodic reviews. No system is completely secure, so please use a strong password and protect your credentials. In the event of a personal data breach, we will notify the Data Protection Board of India and affected users as required by law.
8. Data Retention
We keep personal data only as long as needed to provide the Service and support, and to meet legal obligations (such as tax and accounting records). When data is no longer required, or on a valid deletion request, we delete or anonymise it, subject to lawful retention. Deleted data is removed from active systems and purged from routine backups within 30 days. See the Data Deletion Policy.
9. Your Rights
Subject to applicable law, including the Digital Personal Data Protection Act, 2023, you have the right to:
- access a summary of your personal data and how it is processed;
- correct, complete, or update your personal data;
- request erasure of your personal data;
- withdraw consent, where processing is based on consent;
- nominate another individual to exercise your rights in the event of death or incapacity;
- raise a grievance with our Grievance Officer and, if unresolved, approach the Data Protection Board of India.
- To exercise these rights, email grievance@clozr.com. We may need to verify your identity before acting.
10. Children
The Service is intended for business use by adults and is not directed at children under 18. We do not knowingly onboard minors as account holders. Where an account holder stores data about their own contacts, that data is governed by the account holder's own obligations as Data Fiduciary.
11. Third-Party Links
The Service may link to third-party sites with their own privacy practices. We are not responsible for those sites; please review their policies separately.
12. Changes to This Policy
We may update this Policy from time to time. We will revise the "Last Updated" date and, for material changes, provide reasonable notice.

14. Governing Law
This Policy is governed by the laws of India, with jurisdiction as stated in the Terms & Conditions.
Consent Statement (for sign-up / lead forms)
I have read and agree to the Terms & Conditions and Privacy Policy. I consent to Clozr Technologies Private Limited collecting and processing my personal data to provide the Service and related support, and to being contacted via phone, email, WhatsApp, or SMS for verification, service, and support communications. I understand I can withdraw my consent at any time by contacting grievance@clozr.com.
